2011-12 AGM Minutes

Chairperson Report:
- Lorelle gave out a copy of the constitution for everyone to look over. She will amend Section VII Quorum & Voting, Part A Quorum to say that 3 executive members are needed to constitute a quorum. Terri will bring the new constitution to the next meeting for the new executive to sign.
-Discussion regarding electronic display board. Lorelle to bring in cost estimates to next meeting.
-Discussion regarding the parking issues at the school. There is concern about people parking on the East side of Bailey Street, in that it makes it too narrow to drive through safely. Maxine will check with the city what the laws are for parking.
-The meeting night schedule will wait til next month when new executive is present.
Treasurer Report:
- Terri presented the bank balances.
-She would like to look into purchasing a net book and simply accounting.
Fundraising Report: - First scrapbooking crop is organized.
-Decided to not do any further fundraising until a goal is decided upon.
Principals Report:
-Maxine is to clarify the peanut free policy for the school.
-Discussion of the bus situation. There are 84 students registered to take bus and 66 (three to a seat) are able to ride. The school district will not give us another bus.
-Maxine will look into the benches that we were supposed to receive from Kiti K’Shan or the cost of new ones for the playground.
New Business:
-Rosemarie Goodwin came as the union representative for the teachers in the school to answer any questions parents had regarding the strike. This is phase 1 of a legal strike jointly decided between the teachers and their employers. She said teachers are still evaluating the student’s, but if the strikes continue there will be no formal report cards given out.
-Terri is going to write a letter to the parents stating that we need volunteers for the PAC or it will have to fold.

Shortened meeting due to CPF annual general meeting.
Secretary Report: Motion made to accept the April minutes. MSC.
Treasurer Report: Terri gave current account numbers, $4,986.00 in the General account and $11,600 in the Gaming account.
-Gaming grant was deposited for this year. Terri finished the outstanding reports and will send them to the Gaming Branch by Friday, May 20. Nita applied for the gaming grants for next year on April 27, 2011.
-Terri noted that we need to spend some of the money in our gaming grant. Lorelle will look into the costs of the electronic ticker board.
Hot Lunch Report: Next month a local caterer will be coming to the meeting to give a short presentation.
Fundraising Report: Hot lunch/milk program generated ~$1000.00 this year. The scrapbooking crops are finished for the year, with a profit of ~1,300.00.
Scholastic Book Orders: The last order of the year is going out next week.
New Business: No date yet for Fun Day, but we will host a canteen. Need to go over a menu with Flo. Lorelle to order ribbons.

Secretary Report: Motion made to accept the March minutes. MSC.
Treasurer Report: Terri gave current account numbers, $6,455.50 in the General account and $8,403.42 in the Gaming account.
-Gaming grant was applied for by Nita, we were awarded it, but there was a mix up with our account numbers and we haven’t yet received the money. Nita will phone the Gaming branch. Nita will apply for gaming grant ASAP for next school year.
Hot Lunch Report: There will be no replacement for the Boston Pizza order that was late. The students did receive pizza that day only they had to eat late.
-Next month a local caterer will be coming to the meeting to give a short presentation.
Fundraising Report: The last scrapbooking crop is on May 14th from 10am – 6pm. It is a parent and child class.
-Ana will buy a thank you card and gift certificate for $75 for Tracey Hoffos.
Scholastic Book Orders: Orders are going well. $753.39 has been made in bonus books to date, including 15 books for the library and 30 books for the classrooms.
New Business: Each class received their classroom equipment and it has been great. Each class has its own colour equipment to help keep them organized. The equipment cost $477 in total.
Old Business: The playground installation has started this week.
Principals Report: Maxine asked if we’d be interested in purchasing EMV t-shirts for the track and field team. This was postponed to the next meeting.

The Terrace Chapter of Canadian Parents for French would like to invite community members to an Open House at Ecole Mountainview, April 20, 2011 at 7:00pm. Directrice Maxine Champion and members of the local chapter of Canadian Parents for French will be there to answer any questions about the French Immersion program in Terrace and give tours of this Ecole Mountainview.

Fundraiser for Ecole Mountainview
We are raising money to purchase an outdoor electronic display board.
We are having a raffle fundraiser that coincides with the NHL Heritage Classic Outdoor Hockey game which is being held in Calgary February 20th.
This fundraiser serves two purposes; first to raise funds and second to increase the awareness in our community of the everyday use of the French Language in Canadian pop culture. Many of these hockey players that will be playing in the Heritage Classic are bilingual and the game is not only a celebration of hockey but of the Heritage of our country as well. We're asking for your assistance and support.
Each child/parent is being asked to sell one book of 10 tickets. The tickets are only $2 each. First prize is the picture, second prize is a Tim Hortons gift card and third prize is a Habs hat.
We ask that all tickets and money are returned to the school in a Ziploc bag as soon as they are sold. The draw date and deadline to return these tickets is February 28, 2011. Cheques payable to Ecole Mountainview PAC.
Minors can't sell tickets which means parents must be there with them and do the actual exchange of ticket for money. We encourage you to help your child sell tickets to your friends, family members, and co-workers. Please do not have them sell tickets alone.

Secretary Report: Minutes from November reviewed. Motion to adopt the minutes. MSC.
Vice Chairperson Report: None
Treasurer Report: Terri gave current account numbers, $3,346.41 in the General account and $5,540.65 in the Gaming account. There was a loss of $1,967.00 from the Much Music Dance.
Fundraising Report: Much Music Dance sold 226 tickets. The canteen failed to meet the Canadian Healthy Guidelines. Next time consider having Flo Shepard from the Health Unit review the menu before the event.
New Business: Maxine will begin organizing Carnaval at the beginning of January.
Old Business: The Paris student exchange trip was discussed. It was decided to vote at the next meeting as to the amount of money being donated by CPF. In order to meet the CPF mandate, the group will need to promote the trip to the community possibly through newspaper articles and presentations. Lorelle is to contact CPF to see what the mandate would exactly require.

Principals Report: Christmas concert was a success with an estimated 550 people attending (~300 more than last year).
-there is a new newsletter format being used. Copies of the newsletter are sent to the school board office.
